Sturbridge hotels are nearly impossible to get as many 'regulars' book for the following year when they checkout practically. If it's any consolation, the PMC moved the Road Crew from Sturbridge to Southbridge on Friday Night several years ago because of the increase in costs.
On saturday Night, staying off campus is VERY expensive. You have major teams like Team 9 of the Red Sox and other heavy hitter type teams that literally buy out whole places or floors.
Its amazing how much has changed in the 11 years I've been involved. The amount of money that some people have to spend is incredible. I've seen Limos dropping off riders and hired crews taking care of the bikes and gear.
All I can say is that you should start room shopping NOW and don't be surprised to find places sold out already for the PMC or requiring multiple night stays. Yes, there are people who pay for 2-3 nights just for the Friday or Saturday night stay. Why? Because the motels and hotels know they can get away with it.
Its a sad thing really. I know you have to do things to bring in the money, but my wife and I can't afford to attend many of the PMC events anymore because of how much it costs to attend. It IS a fundraiser after all, and the funds they want to tap into are the deep pockets.
